Asset Management Process
This documentation is for the Asset Manager.
How to buy something on Amazon using CyBuy (for someone who has already gone through Amazon CyBuy training):
- Log in to Workday.
- Click “Procurement” from your Applications panel.
- Click “Connect to cyBUY.”
- Fill in the grant, project, program, and/or department detail worktag that you will use to make the purchase. You’ll usually need to fill in “Assignee” as well. Then click “OK.”
- Click “Connect” on the cyBUY line of the Supplier Websites table.
- Scroll all the way down on the eprocurement page to find and click on the Amazon Business icon. (It is also on this page where you can search for general items if you don’t want to use Amazon specifically, but the search results are confusing.)
- Search Amazon for the item you want to buy. Add to cart and check out. (If buying a gift card, fill out the participant’s email and adjust the message as needed before adding to cart.)
- After checking out, the Amazon page will close, and you’ll be back on the eprocurement website. It should automatically redirect you to a checkout page here; if it doesn’t, click on the cart in the top right corner of the page, and then check out from there.
- You’ll now be taken to Workday. Fill out the internal memos to explain the business purpose for the ISU accountants. There’s one spot for an internal memo on the first page, and then after you click OK, there’s another detailed page. I will copy and paste the business purpose to both memo spots just to be safe.
- On the second page of Workday (the second time you can add an internal memo), you can upload attachments at the bottom of the page. You’ll also need to select the purchase type (type “Participant” for gift card payments; search for other relevant categories like “Furniture” when needed).
- Submit on Workday.
